Main Job Purpose

Responsible for managing the financial and administrative aspects of workshop operations, ensuring accurate cost tracking, job card validation, and financial compliance. The role acts as the key liaison between the Workshop and Finance teams, ensuring transparency, cost control, and proper accounting of all maintenance-related activities.

Accountabilities

Financial Control & Cost Tracking

  • Monitor and control workshop-related costs (labour, parts, subcontracting).

  • Validate job cards for accuracy before financial posting (labour hours, parts usage, approvals).

  • Ensure all costs are correctly allocated to vehicles, contracts, or cost centres.

  • Track cost per repair and highlight variances against budget.

Job Card & System Management

  • Review and close job cards in ERP, ensuring completeness and accuracy.

  • Ensure all supporting documents (LPOs, invoices, approvals) are attached and compliant.

  • Coordinate with Workshop Controller and Team Leaders for missing or incorrect data.

Finance Coordination

  • Act as focal point between Workshop and Finance for:

  • Invoice processing

  • Accruals and provisions

  • Vendor payments follow-up

  • Monthly closing activities

  • Support Finance in audits by providing required documentation and explanations.

Vendor & Invoice Management

  • Validate supplier invoices against approved work and contracts.

  • Ensure proper matching (PO – Invoice – Job completion).

  • Flag discrepancies and resolve with Procurement / Workshop teams.

Reporting & Analysis

  • Prepare regular reports on:

  • Maintenance cost per vehicle

  • Cost per repair / category

  • Budget vs actual analysis

  • Open WIP (work-in-progress) value

  • Identify cost leakage, inefficiencies, and recommend improvements.

Compliance & Process Control

  • Ensure adherence to company financial policies and internal controls.

  • Maintain proper documentation for audit and compliance purposes.

  • Support implementation of cost control initiatives within the workshop.

Qualification
  • Bachelor’s degree in finance, Accounting, or Business Administration.

  • 2-3 years of experience in finance, cost control, or workshop administration.

  • MiProficiency in ERP systems and Excel (advanced level preferred).

  • Strong analytical and financial control mindset.

  • High attention to detail and accuracy.

  • Ability to challenge and validate operational data.

  • Strong coordination between finance and operations teams.

  • Problem-solving and process improvement skills.

  • Integrity, compliance, and accountability.
